As many of you are wrapping up your terms we have several things of importance for your attention in this message. Please make sure to look at all of the discussion topics carefully. Also as a top line note any chapter that has not completed their officer report, associate member report, or roster for the fall semester by FRIDAY DEC 1ST will be fined for each item still incomplete.

Discussion/Update Items

  • Reporting

    • Missing Officer Reports for Fall Semester: Penn State, RPI, UMass Dartmouth.

    • Missing New Member Reports for Fall Semester: Colorado State, Louisiana Lafayette, MIT.

    • Missing Fall Roster: Georgia, Kansas St, Missouri/Columbia, MIT, Northern Illinois, Penn State, RPI, UMass Darthmouth.

  • Financial Delinquency

    • These chapters are currently past due on one or more Invoices, and they need to be paid or a payment plan established: Washington State, Syracuse, Seton Hall, St. Francis, NIU, Missouri-Columbia, Kansas State, Hofstra, Colorado State, Bridgewater State, Arizona State.

  • Officers’ Academy Registration

    • Registration for OA is open and we want to have every chapter register by DEC. 8th. If your chapter will not have completed elections by then please let either Stephan (soechsle@phikaps.org) or Justin (jsines@phikaps.org) know when you will complete elections and be able to register. The information on who and how to register is in your Asana project in the “Transition” section.

  • Officer Transition Meetings

    • Every Chapter is expected to have an officer transition meeting with an HQ Staff Member. We’re asking chapters to schedule those with the staff member that will be their primary contact for Spring Semester.

      • RPI, Seton Hall, Syracuse, Washington State, Hofstra, San Diego, St. Francis, Bridgewater, Colorado, Kansas, UTRGV, and Detroit Mercy should email Justin (jsines@phikaps.org) to schedule those meetings.

Reporting

Timely reporting helps make sure we’re functioning properly as an organization. Please help us close the loop on these missing items as soon as possible.

We have not yet received New Member Reports from the following campuses: Bridgewater State, Kansas St, Louisiana Lafayette, Missouri/Columbia, MIT, Nebraska, Northern Illinois, Penn State, RPI, Seton Hall, Umass Darthmouth, Wisconsin. If you aren’t taking a class this semester please let us know that as well. The form and link are in Asana!

Additionally, we haven’t yet received a roster update from these campuses and you’re going to be over billed for Per Capita because of that: Georgia, Georgia Tech, Kansas St, Missouri/Columbia, MIT, Nebraska, Northern Illinois, Penn State, RPI, Saint Francis, Umass Darthmouth, Wisconsin

And these chapters have not submitted and updated officer report for fall: Georgia Tech, Iowa St, Nebraska, Penn State, RPI, Seton Hall, Umass Darthmouth

Big Brother Training

Some of you have asked about the link for Big Brother Training, we’re waiting on that to be made available by our software partners that are delivering that curriculum for us. Hold tight, Coming very soon!

SEEK Conference
Some of you will be familiar with the Seek Conference of Catholic Collegiate Youth that happens annually. We are looking to create some intentional connections with all Phi Kaps in attendance during the conference. If you (or your members) are planning to attend, please fill out this form. https://phikaps.typeform.com/PKTSEEK Additionally, this is a fantastic venue to talk about who we are as an organization and potentially find additional groups of men on campuses that want to join!

Officer’s Academy

We’ll again be holding our Officer’s Academy January 5-7 in Washington DC. We’ll be asking chapters to register their incoming (or current) President, Recruitment Lead, Member Educator, and an Emerging Leader to attend. Registration information will be out in the coming weeks but please mark your calendars and share this information as many of you are embarking on Elections in the next few weeks.

2023 Early October Updates

Greetings Brothers,

As we enter October, many of you have brought in Associate Member Classes, are approaching Homecoming, and are likely starting Midterms. Please take a few minutes to look through this update and follow up on a few items.

Also, be aware that we’re going to be sharing specific information about where we are in relation to reporting and bill payments on a chapter-by-chapter basis so everyone can have some additional visibility on what is happening within the fraternity.

Management Topics

Associate Member Pins and Badges

In fall 2021 Chapters were provided with a stock of AM Pins & Badges some chapters have reported to us that they no longer have a stock on hand. This may either be because of missed reporting of new members or a missed mailing. In either event your chapter should be starting each semester with a stock of both that is slightly larger than your chapter’s traditional largest new member class. The amount you use is then to be replaced when your next class gets initiated and reported to Headquarters. If you didn’t start this semester with extras as outlined above or have any brothers that never received their Badge and Membership Certificate please send an email to Madison McGrath our Administrator that outlines your needs. Please include the number of AM Pins and Brother Badges you need to return to having a stock. For Example: if your Large Class during the school year is usually around 15 and 5 previously initiated brothers are missing their badges you would ask for 20 AM Pins and 25 Badges. This would leave you with a stock of 20 of each going into next semester. If there are brothers who never received their initiation certificate, please also include a list of names so we can produce those as well. 

We also ask that you please store the stockpile in a safe place, and that you ensure their location is shared when officerschange over, with your ritual equipment would be a logical place.

Insurance Payment

As you know Insurance Payments are coming due soon. If your chapter is one that needs to split your insurance between the Fall and Spring payment dates, please email Cody Blevins our Account Manager with that request as soon as possible. In that email, please include which Chapter you are asking for the billing to be split and include your name and position so he can verify. 

Reporting

The following chapters have not yet reported a new member class for this semester. Reports submitted more than a week after the association date are at risk of incurring a per person fine. No fine will be issued for any classes reported late for the next week so please get those caught up. (If you aren’t taking a new member class this semester you need to report that through Asana too.)

Roster Updates are also past due if not yet completed and should be attended to ASAP.

Reminders

Risk Management Training

If you have not yet completed the Risk Management Modules this should be on the Agenda at your next chapter meeting. 

Elections

Its not to early to start encouraging bothers to consider running for executive positions as many of you have elections coming up in November/December

Officer’s Academy

Officer’s Academy will be held the 1st weekend in January in Washington, DC. Please put this on the calendar and share with prospective incoming officers. A schedule and registration information will be available as we get closer.

Achieve

Officers currently serving should highly consider downloading and starting to complete the documentation for Achieve Part 2 (Spring Tasks in Asana – Due June 1) You’ll be setting your spring officers up to fail on this task if you haven’t started this for them. Just 5 minutes a week at exec meetings can help your chapter get recognized for all the great work you’re doing instead of long hours in April and May for someone else.

Reaching out to let you all know that the Asana Projects for this year are live. You should have received a notification already but just in case you didn’t (or if you ignored it ) there are tasks due as early as next week so please dive in there as soon as possible. We’re going to try to send regular update emails going forward and this is the first. We’ll send it directly and through Asana so some of you may have already seen this.

Also, Staff will be reaching out this week to set up regular coaching calls so please respond to those.

Brothers,

My name is Raphael and I’m the new chair for the Undergraduate Advisory Committee (UGAC). The purpose of the UGAC is to represent the undergraduate voice at the national level and increase communication between the chapters and the National Fraternity. Although the UGAC has been relatively inactive the past Biennium, the newly elected group is committed to revitalizing the committee to fulfill its purpose.

The UGAC will begin hosting a virtual meeting at the start and end of each semester for Chapter Presidents and UGAC reps to attend which will focus around giving reports from the national fraternity as well as collect feedback from chapters that the UGAC will voice during National Fraternity meetings.

I am inviting you to join the first meeting on Tuesday, August 29th from 8:30-9:30pm EST. I look forward to seeing all Chapter Presidents and UGAC members there.

Many of you and your chapter members know men attending other campuses where we have PKT Chapters, Please ask your members this week for Name, emails, and phone numbers of those men and share any directly with your fellow presidents. We get stronger as an organization the more we grow, please help a fellow chapter!

EXPANSION

We are actively recruiting men right now at University of Texas - San Antonio, Slippery Rock University (Pennsylvania), Christian Brothers University (Tennessee), and Ohio State University. If you or your members know men at any of these campuses please share their information with @Travis Smith so we can encourage them to become part of our brotherhood!
